Asset Tracking Glossary

The definitions are written for operational teams and asset managers. It is deliberately centred on the operational control of physical assets: identification, location, movement, custody, tagging and verification.

Core asset tracking and identification

Asset tracking

The process of recording and monitoring the identity, location, custody, movement and status of physical assets throughout their operational life.

Asset tracking system

Software used to maintain asset records and capture movements, assignments, scans and verification results. It provides a current operational view of where assets are and who is responsible for them.

Asset list

A complete record of assets held in the system, typically showing details such as asset ID, description, location, status, custodian and other key tracking information.

Asset logging

The process of recording an asset in the system, including its identifying details, current location, status and any relevant tracking information.

Asset register

The central list of assets and their key information, including identifiers, descriptions, locations, custodians, status and history. In asset tracking it is primarily an operational record.

Asset identification

The process of uniquely distinguishing an asset, normally using an asset ID, tag number, barcode, QR code, RFID tag or serial number.

Unique asset ID

A non-duplicated identifier assigned by the organisation to an asset record. It is the key used to link tags, scans, transactions and history to the correct item.

Asset tag

A label, plate or electronic identifier attached to an asset so that it can be recognised and linked to its record. Tags may carry a barcode, QR code, RFID chip or visible number.

Tagging

The process of attaching and registering an asset identifier so that the physical item can be linked reliably to its digital record.

Serial number

A manufacturer-assigned identifier that uniquely distinguishes an item. It is often retained alongside an internally assigned asset ID or tag number.

Barcode

A machine-readable pattern of lines or squares that encodes an asset identifier. It is scanned with a camera or dedicated reader to retrieve or update the associated asset record.

QR code

A two-dimensional barcode that can store an asset identifier and can usually be scanned using a smartphone camera or dedicated scanner.

Radio Frequency Identification (RFID)

Technology that uses radio waves to identify tagged assets. Depending on the tag and reader, RFID can support rapid scanning without a direct line of sight.

RFID tag

A tag containing an RFID chip and antenna. Tags may be passive, active or semi-passive, with different read ranges and power requirements.

RFID reader

A device that detects and reads RFID tags, then passes the identifier to a tracking application or database.

Near Field Communication (NFC)

Short-range wireless technology that allows a compatible phone or reader to identify an NFC tag at very close range. It can be used for simple tap-to-identify asset interactions.

Location, movement and custody

Asset location

The physical or logical place where an asset is recorded as being held, used or stored, such as a site, building, room, vehicle or virtual store.

Location hierarchy

A structured set of locations that shows how sites, buildings, floors, rooms, stores and sub-locations relate to one another. It supports consistent reporting and transfers.

Site

A top-level physical location in an organisation’s location hierarchy, such as an office, depot, school, hospital, campus or operational facility.

Virtual location

A non-physical location used to represent a logical state or controlled process, for example in transit, quarantine, repair, disposal pending or off-site with a supplier.

Asset movement

A recorded change in an asset’s location, custodian, status or availability. Movement history supports control and investigation.

Asset transfer

The formal reassignment of an asset between people, teams, departments, sites or locations, normally recorded with the date, source, destination and authorisation.

Asset assignment

The recorded allocation of an asset to a named person, team, department, cost centre or project. It helps establish responsibility for its use and return.

Asset custody

Responsibility for looking after an asset while it is in a person’s or team’s possession. Custody may change without changing financial ownership.

Custodian

The person, team or organisational unit currently responsible for an asset’s day-to-day care, use or return. A custodian is not necessarily the legal owner.

Chain of custody

The chronological record of who had responsibility for an asset and when. It is particularly useful for portable, high-value, regulated or sensitive items.

Check-in

The process of recording that an asset has been returned to a defined location, store or equipment pool and is available for inspection, reissue or further action.

Check-out

The process of issuing an asset from a store or equipment pool to a person, team, job or location, with the assignment and expected return recorded where required.

Mobile asset

An asset that is routinely moved between locations, people or jobs, such as a vehicle, laptop, tool or portable medical device. Its tracking needs are usually different from those of installed equipment.

Equipment pool

A shared collection of assets that can be issued, booked or returned by authorised users, such as laptops, tools, test equipment or audiovisual equipment.

Location change

A recorded update showing that an asset has moved from one physical or organisational location to another.

Data capture, verification and control

Data capture

The collection of asset information at the point it is created, received, moved, issued, inspected or verified. Capturing data close to the event improves record accuracy.

Scan date

The date on which an asset was last scanned, for example using a barcode or RFID device, to confirm its presence or location.

Scan event

A recorded interaction between a reader or mobile device and an asset tag. The event may create or confirm an identification, location, issue, return or verification transaction.

Last seen

The latest date and time at which an asset was scanned, detected or otherwise recorded. It is useful for prioritising searches and investigating exceptions.

Last known location

The most recent location recorded for an asset. It should be interpreted alongside the date, time and source of the update, as it may not represent the asset’s current position.

Location verification

The confirmation, normally by scanning or visual inspection, that an asset is present at the recorded location. It is a core activity in periodic asset verification.

Verification

The process of confirming the accuracy of selected asset data, usually including identity, existence, location, status and custody. Verification may be periodic or exception-led.

Asset audit

A planned review of asset records against physical evidence to confirm that assets exist, are correctly identified and are recorded in the right place and status.

Audit date

The date on which an asset was last physically verified or formally checked as part of an asset audit or stocktake.

Stocktake

A planned physical count and verification exercise that compares assets found at a location with the tracking system’s records and records discrepancies.

Audit trail

A time-stamped record of changes to an asset record, showing what changed, when it changed and, where available, who made or approved the change.

Data validation

Checks that ensure asset data is complete, consistent and suitable for use, for example confirming that a scanned tag matches a valid asset ID and permitted location.

Bulk import

The controlled loading of many asset records from a spreadsheet or other source into the tracking system, typically during implementation or a major data update.

Bulk update

A controlled change to a shared field across multiple asset records, such as a location, custodian, category or status. Good practice is to validate the selection and retain an audit trail.

User-defined field

A configurable data field used to record information that is specific to an organisation, such as security classification, grant reference, inspection zone or local asset owner.

Asset status

A controlled label describing an asset’s current operational state, for example available, assigned, in transit, under repair, missing, disposed or retired.

Condition

An assessment of an asset’s physical state, such as good, fair, damaged or beyond economic repair. Condition data supports operational decisions but is distinct from a financial valuation.

Lost asset

An asset whose whereabouts are unknown after reasonable checks. It should be given a controlled status and investigated rather than removed from the register without evidence.

Tracking technologies and tools

Handheld scanner

A portable device used to read barcodes, QR codes or RFID tags during asset issue, return, stocktake, verification or location updates.

Mobile application

A phone or tablet application that enables authorised users to search records, scan tags and record asset transactions while away from a desk.

BLE beacon

A small Bluetooth Low Energy device that broadcasts an identifier. It can support proximity-based or zone-level location tracking where compatible readers or mobile devices are in place.

Real-time location system (RTLS)

A system that uses technologies such as BLE, Wi-Fi, ultra-wideband or RFID to estimate an asset’s position or presence in near real time within a defined area.

Global Positioning System (GPS)

Satellite-based positioning technology used to estimate an asset’s location outdoors. GPS is most suitable for vehicles and mobile equipment, and is less reliable indoors.

Geofence

A virtual boundary around a real-world area. A tracking solution can generate an alert or record an event when a compatible tracked asset or device enters or leaves that boundary.

Asset-management context and integration

Fixed asset

A tangible item held for long-term use by an organisation. Asset tracking can manage its operational identity and location, while fixed asset accounting manages its financial treatment.

Inventory

The count and record of items held for use, issue or sale. In an asset-tracking context, the term may also describe a physical count of tagged operational assets.

Parent asset

The higher-level asset in a relationship that groups associated sub-assets or components. Parent-child records can help track complex items without losing detail.

Parent/component

A relationship used to link a main asset, the parent, with one or more associated components that form part of, or are used with, that asset.

Kitting

The process of grouping multiple assets or components together as a kit so they can be tracked, issued, moved or managed as a single set.
